The information below has been prepared to assist with your planning. Please take the time to read the Exhibitor Manual, locate your organisation on the floor plan, use the provided delivery labels, return the required participation forms, and provide a copy of your Certificate of Insurance if exhibiting.

Sponsors with marketing entitlements should also submit the required logos, advertisements, profiles and other materials included within their package.

Please take note of the due dates for each requirement. Receiving these items on time helps our team deliver your participation and entitlements professionally and within the required timeframes.

All sponsors and exhibitors are asked to allow approximately 10 minutes to read the manual and action the relevant requirements.

  • Conference Delivery and Collection Labels
    Please use the label below when arranging deliveries to the Adelaide Hills Convention Centre:

    • Delivery Label: Use this label to attach to the items you are delivering to the venue.

  • Registration

    When registering, please select the “Included Sponsor/Exhibitor” registration option for the complimentary registrations included with your sponsorship or exhibition package.

    If additional staff will be attending beyond your included entitlement, please register them separately using the “Additional Sponsor/Exhibitor” option. Additional registrations will be charged at the applicable registration rate.

    Please also email a list of all attending staff asap to travis.c@asnevents.net.au. Registrations will then be checked and confirmed in the registration system.

  • Exhibitor Package Inclusions

    The standard exhibition package includes a trestle table, chairs and access to power. Please bring your own branded tablecloth, pull-up banners and any other materials required to set up and brand your trade space. Please also refer to your selected sponsorship or exhibition package for details of your full entitlements.

  • Venue Exhibition Information

    For venue-specific information, including deliveries, storage, access, safety requirements and onsite procedures, please refer to the Adelaide Hills Convention Centre Exhibitor Information:

  • Exhibitor Bump-in and Pack-down

    • Bump-in: Sunday, 29 November 2026, from 3:00 pm to 5:00 pm - Note the Opening Plenary starts at 5:00pm with the Welcome Reception commencing at 6:30 pm.

    • Bump-out: Wednesday, 2 December 2026, from 3:30 pm to 4:30 pm

  • Accommodation: Accommodation options are available in Hahndorf which is within walking distance of the Crystal36–AXAA conference venue. There is also accommodation in Adelaide which is approximately a 25-minute drive away. Please see the link below for accommodation options in Hahndorf and Adelaide below.

Your trade table currently provides each exhibitor with space for one trestle table, along with some additional room beside their stand.

Create short, interactive experiences that give delegates a reason to stop, learn about your organisation and speak with your team.

  • Live demonstrations: Show your equipment or technology in action.

  • Meet the Expert: Schedule brief discussions with your specialists.

  • Interactive data: Display crystal structures, research or diffraction patterns.

  • Knowledge challenge: Test delegates with samples, patterns or questions.

  • Mini talks: Present practical tips, research or innovations.

  • Innovation showcase: Highlight a new product, technology or application.

  • Quiz or prize draw: Combine participation with a small reward.

Keep activities brief, relevant and easy to join. Contact the conference team before arranging additional equipment, furniture, catering, power or floor space.
